How to use the timesheet calculator

  1. Choose One day for a quick answer, or One week for a full timesheet.
  2. Set the normal shift length. Anything worked above it on a day counts as overtime.
  3. Type the clock-in and clock-out time and the unpaid lunch break in minutes. Leave a day empty if it was a day off.
  4. Add a pay per hour if you also want the pay worked out, including overtime.

How hours worked are calculated (with a lunch break)

Hours worked = clock-out time − clock-in time − unpaid lunch break. For example, 9:10 AM to 7:30 PM is 10 hours 20 minutes; minus a 60-minute break gives 9 hours 20 minutes. With an 8-hour shift, 1 hour 20 minutes of that is overtime.

MinutesDecimal hours
15 min0.25
20 min0.33
30 min0.50
45 min0.75

Payroll usually needs decimal hours, so the calculator shows both: 9 h 20 m and 9.33 hours.

A time card calculator for any country

The same calculator works for employers and employees in the United States, the United Kingdom, Canada, Australia, New Zealand, India, Pakistan, the Gulf and anywhere else. Pick your own currency for pay, use 12-hour or 24-hour time, and set the overtime rate your company uses. Overtime laws differ from country to country, so always check your local rules.

Frequently asked questions

How do I calculate hours worked?

Subtract the clock-in time from the clock-out time, then subtract the unpaid break. For example 9:00 AM to 6:00 PM is 9 hours; minus a 60-minute break is 8 hours worked.

How do I convert hours and minutes to decimal hours?

Divide the minutes by 60 and add them to the hours. 8 hours 30 minutes is 8.5 hours; 7 hours 45 minutes is 7.75 hours. The calculator shows both formats.

How is overtime counted here?

Per day. Any time worked above the normal shift you choose (8 hours by default) is overtime for that day, and it is paid at the overtime rate you pick. Rules differ between countries and companies, so check your own policy.

Does it work for night shifts?

Yes. If the clock-out time is earlier than the clock-in time, it is treated as the next day — 10:00 PM to 6:00 AM is 8 hours.

How are late minutes counted?

If you set "Shift starts at", any clock-in after that time is counted as late for that day. Clock-ins before it are not counted.

Does it work in my country and currency?

Yes. Pick any currency from the list next to "Pay per hour" — it is filled in from your browser's region, and you can change it or choose "No symbol". Times follow your device's 12-hour or 24-hour format.

How do I subtract a lunch break?

Type the unpaid lunch or break time in minutes in the "Lunch / break" box for that day. It is taken off the time between clock-in and clock-out. Leave it at 0 if your breaks are paid.

Can I use it for two weeks or a pay period?

The calculator works one week at a time. For a two-week pay period, fill in the first week and download the CSV, then fill in the second week and download it again. Add the two totals in any spreadsheet.

Is my data saved or sent anywhere?

No. Everything is calculated in your own browser. Your last entries are only remembered on your device, so you do not have to type them again. Use "Clear" to remove them.

Track attendance automatically. PunchSync is a self-hosted attendance server for ZKTeco and eSSL push machines: daily attendance, late and absent lists, monthly registers and CSV/PDF reports for every branch — one-time payment.
