How to make an attendance sheet
- Choose the sheet: a monthly register to mark on screen, a blank sheet to print and fill by hand, or a daily sign-in sheet.
- Pick the month, your weekly off days and any holidays.
- Add your staff one by one, or paste a list from Excel or WhatsApp.
- Mark each day P (present), A (absent), L (leave) or HD (half day). Totals and attendance % are worked out for you.
- Download the PDF or Excel file, or print it.
Monthly attendance sheet format
A monthly attendance sheet has one row for each person and one column for each day of the month. Weekly offs and holidays are shaded so nobody is marked absent by mistake. At the end of each row are the totals — days present, absent and on leave — and the attendance percentage. Signature lines at the bottom (prepared by, checked by, approved by) make it ready for payroll.
| Mark | Meaning | Counts as |
|---|---|---|
| P | Present | 1 day present |
| HD | Half day | ½ day present |
| A | Absent | Absent |
| L | Leave | Leave (not absent) |
| H / shaded | Holiday or weekly off | Not a working day |
Attendance sheet template in Excel (with formulas)
The Excel button downloads a real .xlsx attendance sheet template. The Present, Absent, Leave and % columns are COUNTIF formulas, so you can keep marking days in Excel or Google Sheets and the totals update themselves. The same data is also available as a PDF for printing and as CSV.
Attendance sheet for employees, staff and students
Use it as an employee attendance sheet for a shop, salon, clinic, office or factory, as a staff attendance register for a school, or as an attendance sheet for students, trainees and volunteers. It works in any country: choose Friday, Saturday, Sunday or any days as weekly offs, and A4 or US Letter paper.
Printable sign-in sheet template
The Daily sign-in sheet lists everyone with Time in, Signature, Time out and Signature columns, plus empty rows for visitors or new staff. Print one for each day and keep it at the front desk.
Frequently asked questions
How do I make an attendance sheet?
Choose the month, add your staff names, pick the weekly off days and mark each day as Present, Absent, Leave or Half day. Then download the sheet as PDF or Excel, or print it.
What is the format of a monthly attendance sheet?
One row for each employee and one column for each day of the month, with weekly offs and holidays marked. At the end of each row are the totals: days present, absent, on leave and the attendance percentage, followed by signature lines.
How is the attendance percentage calculated?
Attendance % = days present ÷ working days × 100. Working days are the days in the month minus weekly offs and holidays. A half day counts as half a day present.
Can I download the attendance sheet in Excel with formulas?
Yes. The Excel download is a real .xlsx file. The Present, Absent, Leave and % columns are COUNTIF formulas, so if you change a mark in Excel or Google Sheets the totals update by themselves.
Can I print a blank attendance sheet to fill in by hand?
Yes. Choose Blank to print: the sheet keeps your staff names, the dates, the weekly offs and holidays, and leaves every day empty with a signature column, ready to print as PDF.
How do I make a daily sign-in sheet?
Choose Daily sign-in, pick the date and print. Each person gets a row with Time in, Signature, Time out and Signature, plus empty rows for visitors or new staff.
Does it work for students and in my country?
Yes. Use it for staff, students, trainees or volunteers in any country. Set your own weekly off days (Friday, Saturday, Sunday or any mix), add holidays, and use A4 or US Letter paper.
Is my data saved or sent anywhere?
Nothing is uploaded. Your staff list and marks are kept only in this browser on this device. Use Backup to save a file you can restore on another computer.
